After Your Appointment — What Happens Next

Your passport is with the consulate. Here's exactly what happens during processing, how to track it, and what to do in every outcome.

Day 0 — Appointment Day
Documents submitted, passport retained
You leave the consulate without your passport. Processing begins. The visa fee is non-refundable from this point.
Days 1–5 — Document Review
Consular officer reviews your application
Officers verify all documents, check your financial proof, review your travel history, and assess your application. They may request additional documents (this is rare but possible).
Days 5–10 — Decision Made
Visa approved, denied, or additional info requested
The consular officer makes a decision. If approved, the visa sticker is placed in your passport. If denied, a refusal notice is placed in your passport. Standard processing: 1–2 weeks total.
Days 10–14 — Passport Mailed
Passport returned via your pre-paid envelope
Your passport is mailed back in the envelope you provided. Use your USPS or FedEx tracking number to monitor delivery. Estimated delivery: 2–5 business days after mailing.
Approved
Your passport arrives with a Schengen visa sticker showing the validity dates and number of allowed entries. Check: your name, dates, and entry type are correct. You're ready to travel!
Additional Documents Requested
The consulate may contact you requesting more information. Respond quickly and completely. This is not a denial — it's a request for clarification.
Denied
Your passport is returned with a refusal notice explaining the reason. You have options — see below. A denial does not permanently bar you from future applications.

If Your Visa is Denied — Your Options

A denial is frustrating, but it's not the end of the road. The refusal notice must explain the reason — use that to understand your next step.

Insufficient financial proofYour bank statements didn't show enough funds or were incomplete. Reapply with stronger documentation.
Inadequate travel insuranceThe most common reason. Your insurance didn't meet the €30,000 minimum or didn't list all required benefits.
Incomplete documentsA required document was missing or incorrectly formatted. Reapply with the complete set.
Purpose of trip unclearThe consulate wasn't convinced your stated purpose matches your documentation. Provide clearer evidence.
Immigration risk assessmentBased on travel history or other factors. This is more complex — contact us for guidance.
Passport or ID issuesPassport expiring too soon, wrong consulate jurisdiction, or other administrative issues.

What you can do after a denial:

  • File an appeal (recorso) — you have the right to appeal within the timeframe stated in the refusal notice
  • Reapply with corrected / stronger documents — address the specific reason stated in the refusal
  • Contact our team — we review denied applications and advise on the best path forward
  • Note: the visa fee is non-refundable even if denied. A new application requires a new fee.

Verify these details on the visa sticker:

  • → Your full name (matches passport exactly)
  • → Valid from / valid until dates
  • → Duration of stay (number of days authorized)
  • → Number of entries (SINGLE or MULT)
  • → Passport number

If anything is incorrect, contact the consulate immediately before your trip.

Entering Italy with Your Visa

  • → Border officers may ask for the same documents you submitted
  • → Keep copies of hotel reservations, insurance, and financial docs when traveling
  • → If entering Italy from another Schengen country, report to local police (Questura) within 8 working days
  • → Do not overstay your visa — this has serious consequences for future applications
